Terms of Service
Last updated 6 September 2026
These terms govern the tutoring services provided by Virtual Education System (VES) Ltd ("VES", "we", "us"), a company registered in England and Wales under company number 17019119, with its registered office at 35 Newport Street, Stoke-on-Trent, ST6 4BU, United Kingdom. By booking lessons with us you ("the parent/guardian" or "the student", together "you") agree to these terms.
1. Our service
We provide live, one-to-one online tutoring delivered by video call according to a schedule agreed with you. Lessons are provided as a monthly package per student, defined by the number of days per week and the session length. We may change a tutor where necessary and will tell you when we do.
2. How lessons are delivered
Lessons are delivered online by live video call at the times in your agreed schedule, within the calendar month you have paid for. Before each lesson you receive a personal join link by email and/or WhatsApp; attendance is recorded in your parent portal. No physical goods are shipped.
3. Free trial
New students may take one free trial lesson with no obligation. A trial does not commit you to a package.
4. Fees and payment
- Fees are quoted per student per calendar month and are payable in advance. An invoice is issued at the start of each billing month and is due by the date shown on it.
- Fees may be paid by Visa, Mastercard or American Express through our secure payment provider, or by bank transfer using the details on the invoice. Prices are shown and charged in GBP or USD as agreed with you. Card payments appear on your statement as VES / VIRTUAL EDUCATION SYSTEM.
- If an invoice remains unpaid after its due date we may pause lessons until payment is received.
- Fees may change with at least 30 days' written notice; changes never apply to a month already paid.
5. Attendance, absences and make-up lessons
- Please tell us at least 12 hours in advance if a student cannot attend. Lessons missed with notice may be rescheduled as make-up lessons within the same month, subject to tutor availability.
- Lessons missed without notice, or where the student does not join within 15 minutes of the start time, are treated as taken.
- If we cancel a lesson, we will offer a make-up lesson or credit its value to your next invoice.
6. Cancellation
You may cancel at any time by emailing support@virtualeducationsystem.com. Cancellation takes effect at the end of the paid month. Refunds are handled under our Cancellation & Refunds Policy.
7. Conduct and safeguarding
- Lessons take place on our approved video platform. Tutors and students are expected to treat each other with courtesy.
- For students under 18, a parent or guardian is responsible for the student's participation and must be contactable during lesson times.
- Tutors working with children are vetted and background-checked. Any safeguarding concern should be reported to us immediately.
- Lessons may be recorded for quality and safeguarding purposes; recordings are kept securely and used only as described in our Privacy Policy.
8. Materials
Teaching materials we provide are for the student's personal use and may not be redistributed.
9. Liability
We provide tutoring with reasonable care and skill. We do not guarantee particular exam results. Nothing in these terms limits liability that cannot be limited by law. Otherwise, our liability to you for any claim is limited to the fees you paid to us in the three months before the claim arose.
10. Changes and law
We may update these terms; the current version is always published on this page. These terms are governed by the laws of England and Wales, and the courts of England and Wales have jurisdiction, without affecting the rights you have as a consumer where you live.
